How does pricing work exactly?
Free for small barns, with up to 10 horses, 2 guides, and 2 ride templates, including full scheduling and conflict detection. When you're ready to grow or take online payments, Standard is $49 a month for unlimited everything. On Standard you also pay 2% per online booking, capped at $15, and only on bookings you take online. Cash bookings are always free. Stripe's processing fee of about 2.9% plus 30 cents is separate and goes directly to Stripe, never to us.
Is there really a free plan?
Yes, and it stays free. A solo instructor or small barn with up to 10 horses, 2 guides, and 2 ride types can run a full scheduling operation on Guided Trails without paying anything. You move to Standard when you outgrow those limits or want to take payments online.
Do I have to take payments online?
No. Every tier works cash-only if you prefer. Take reservations by phone, enter them yourself, and track who has paid. You only connect Stripe, and pay the 2%, if and when you decide to accept online bookings. Many ranches start cash-only and switch on online payments later. It's a setting, not a migration.
Can I just take deposits instead of full payment?
Yes. You can require a flat deposit such as $20 a rider, a percentage, or the full amount, set per ride type. Many ranches use a small deposit to cut no-shows while collecting the balance in cash at the barn. The 2% applies only to what you charge online, so a deposit-only setup keeps your fees small.
How is sales tax handled?
On Standard, sales tax is calculated at checkout through Stripe Tax, using your business location and tax registrations. Tax appears as its own line, and Stripe gives you the records you need to file and remit. Your ranch stays the merchant of record, so the tax you collect is yours to report, and our 2% fee is calculated on the pre-tax amount, never on the tax. Guided Trails does not collect or remit sales tax on your behalf. If you have questions about your registrations or what is taxable in your state, check with your accountant.
What if my season is only part of the year?
Switch to Seasonal Pause at $19 a month when you close for the season. Your horses, guides, history, and settings stay exactly as you left them, and online booking pauses. Reopen on Standard whenever you're ready, with nothing to re-enter. It's built for outfitters who run a few months and rest the others.
Do I need a Stripe account?
Only if you take online payments. On Free, or running cash-only, you don't need Stripe at all. When you're ready to accept online bookings, you connect your Stripe account via Stripe Connect, which takes about 5 minutes at stripe.com. There's no merchant account and no bank wire setup on our end. Your ranch is the merchant of record, so payments land in your Stripe account and you keep the full dashboard for payouts, refunds, and disputes.
Who handles refunds and cancellations?
Guided Trails does, automatically, based on your cancellation window. When a guest cancels outside the window, the system issues the refund for you. When a party drops riders, it refunds the difference. You set the window to match your policy. Cash bookings can be refunded the same way you took them.
Is there a setup fee?
No setup fee. Configuring your ranch is free, including adding horses, guides, and ride templates and exploring the full dashboard before you pay anything. You move to a paid tier only when you outgrow Free or turn on online payments.

Can I use my own domain?
Your booking page is available at yourranch.guided-trails.com from day one. Custom domain support (e.g., book.yourranch.com) is on the roadmap.
What happens if I cancel?
Cancel anytime. Your data remains accessible for 30 days after cancellation so you can export your reservation history. No contracts, no cancellation fees.
Is my data safe? Who owns it?
You own your data. It's stored on encrypted PostgreSQL in a private cloud. We never sell or share customer data. You can export your full reservation history at any time.
How long does onboarding take?
